Payments
A 50 % deposit is requested shortly after the reservation. Full payment should be sent 30 days prior to arrival date. In the event of a reservation received after 30 days prior to arrival date, full payment should be sent as soon as Cacao Travel Panama confirms the request.
Cancellations and Refunds
Cancellations must be received in writing with a minimum of 30 days prior to arrival. In such cases, the deposit will be refunded, less a handling charge of US$200 (two hundred US dollars) and the guarantee deposits to hotels and tour coordinators. Cacao Travel Panama is not responsible for non-recoverable expenses incurred by visitors in preparing for a cancelled trip, such as non-refundable advance purchase hotel, transfers, tours, etc., nor for any necessary additional arrangements should the applicant have embarked prior to the departure date. The following conditions apply to cancellations received after making the balance of payment for individuals:
30 to 21 days prior to arrival, 10% of the total amount is subject to forfeiture.
20 to 15 days prior to arrival, 30 % of the total amount is subject to forfeiture.
14 to 11 days prior to arrival, 50 % of the total amount is subject to forfeiture
10 days prior to arrival, 100% of the total amount is subject to forfeiture.
Certain hotels may have more strict cancellation and refund policies. These vary according to each hotel and depending on each circumstance. We highly recommend our clients to purchase trip cancellation insurance.
*Cancellation fees for groups will depend on the cancellation and refund policies of the chosen hotels.
Cacao’s Responsibility
Cacao Travel Panama and all of our employees, representatives, third-party providers, contractors and agents assume no liability to you or any other person (whether in contract or otherwise) for any loss including death, personal injury or damage of any kind that may result from any act or omission (whether negligent or otherwise) by or on behalf of us in connection with our services or any other matter relating to your booking except to the extent that such loss or damage is incurred as a direct result of our wilful misconduct.
Moreover, we accept no responsibility for any losses, claims, proceedings, actions, damages, costs and expenses (including legal fees) arising directly or indirectly out of or in connection with your access or use of any of our services or any breach by you of our booking conditions and all other applicable terms relating to the provision of our services.
We work with a network of companies, accommodation providers, activity providers, airlines, transfer companies, tour and local guides, government agencies, independent providers and individuals to assist in the running of our trips as agent for these third parties. Although we take all reasonable steps to select reputable third party providers, we cannot be responsible or be held liable for their acts or omissions and their consequences. Any services provided by third party providers may be subject to the terms and conditions imposed by these providers which may limit or exclude the liability of the third party provider.
Some or all of the activities included in our tours and services may be inappropriate or pose a risk to people with certain health conditions or physical disabilities. It is the travelers’s responsibility to judge whether they are fit to participate in these activities considering his or her physical capabilities.
