Reservations

Cacao Travel Group Panama, S.A (onwards Cacao Travel Panama) will design a customized program upon request, considering the visitor's needs and interests, such as length of stay, time of the year, kind of accommodations, etc. Once the itinerary has been approved, Cacao Travel Panama will proceed to do the reservations and will try to maintain the original itinerary without any change; however, it is important to emphasize that due to space availability the itineraries may be modified.

Early reservations are recommended in order to guarantee your accommodations. During the high season (November to April and months of July and August), we suggest that reservations be made at least six months in advance in order to secure the space.

All the reservations must be sent in writing via e-mail with all the specifications of the visitor’s request to the following address: operations@cacaopanama.com.

The travel agency is responsible for informing the visitor of the following:

  • All the details provided by Cacao Travel Panama in the process of negotiation
  • The final itinerary
  • The responsibility of Cacao Travel Panama and its agents
  • The payment, cancellation and refund policies of Cacao Travel Panama
  • The visitor’s responsibilities.


Payments

A 50 % deposit is requested shortly after the reservation. Full payment should be sent 30 days prior to arrival date. In the event of a reservation received after 30 days prior to arrival date, full payment should be sent as soon as Cacao Travel Panama confirms the request.

Important: a copy of the deposit with the client's invoice or reservation number must be sent by email so that we know the deposit has been made.






Cancellations and Refunds

Cancellations must be received in writing with a minimum of 30 days prior to arrival. In such cases, the deposit will be refunded, less a handling charge of US$200 (two hundred US dollars) and the guarantee deposits to hotels and tour coordinators. Cacao Travel Panama is not responsible for non-recoverable expenses incurred by visitors in preparing for a cancelled trip, such as non-refundable advance purchase hotel, transfers, tours, etc., nor for any necessary additional arrangements should the applicant have embarked prior to the departure date. The following conditions apply to cancellations received after making the balance of payment for individuals:

  • 30 to 21 days prior to arrival, 10% of the total amount is subject to forfeiture.
  • 20 to 15 days prior to arrival, 30 % of the total amount is subject to forfeiture.
  • 14 to 11 days prior to arrival, 50 % of the total amount is subject to forfeiture
  • The payment, cancellation and refund policies of Cacao Travel Panama
  • 10 days prior to arrival, 100% of the total amount is subject to forfeiture.

Certain hotels may have more strict cancellation and refund policies. These vary according to each hotel and depending on each circumstance. We highly recommend our clients to purchase trip cancellation insurance.

*Cancellation fees for groups will depend on the cancellation and refund policies of the chosen hotels.




Responsibility

Cacao Travel Panama acts only as an agent for the passenger in regard to Travel, whether by road, railroad, boat, airplane, helicopter, or horse, and assumes no liability for injuries, damages, losses, accidents, delays or irregularities that may be caused either by reason of act or default of any hotel, carrier, boat, restaurant, company or person, rendering any of the services included in the trip, or any other circumstances beyond their direct control.

Cacao Travel Panama and/or its agents accept no responsibility for losses or additional expenses due to delays or changes in flight schedules, loss of (or damage to) baggage or any article belonging to the passengers, sickness, personal health, weather, strikes, roads and trails' conditions, river levels, delays in transportation, wars, accidents, chance, force major or other reasons. Such losses or expenses will be borne by the passenger, as tour rates provide for arrangements only for the time stated. Many of the activities involved in the tours may be inappropriate for those people with severe health problems or physical disabilities. It is the passenger's responsibility to judge the appropriateness of these activities considering his or her physical capabilities.
